Cancellation

Unfortunately it is possible that you have to cancel, therefore our conditions in a row

 
It can occur that for whatever reason, you wish to cancel your stay with us or some of the participants wish to cancel. As soon as you know about it, we request that you notify us – preferably via e-mail: [email protected]. Dependent on the term within which you cancel, we have already incurred costs on your behalf and it is difficult to hire the reserved space to someone else. We therefore work by the following cancellation rules:
 

General

 

  • If a confirmed definite reservation has been made, it is possible to cancel without incurring any costs whatsoever up to six months before the start of the conference.
  • For cancellations within six months until two months before the start of the conference, 10% of the estimated invoice amount will be charged.
  • For cancellations within two months before the start of the conference, 60% of the estimated invoice amount will be charged.
  • For cancellations within one week preceding the conference, the whole of the estimated invoice amount will be charged.

 

 

Individual participants

 

  • Cancellation within two months before the start of the conference is possible up to a maximum of 20% of the number of participants stated in the confirmation.
  • Cancellation by individual participants (up to a maximum of 20%) is free of charge up to five working days before the start of the conference.
  • Cancellations by individual participants (up to a maximum of 20%) within five working days before the start of the conference are charged 60% of the participants’ rate.
  • Cancellations on the starting day of the conference are charged at the full participants’ rate.
  • Working days end at 17.00 hrs.

Kaap Doorn applies the Uniform Conditions for the Hotel and Catering Industry, but deviate from this (usually in a positive sense) with the above cancellation conditions. For the rest, the UCHCI apply.
